This policy explains how SSI Business Solutions Limited ("SSI", "we") handles personal information collected through this website and, in summary, how personal information is processed in the ApexPay service we provide to employers.
Who we are
SSI Business Solutions Limited is a company based in Trinidad and Tobago. ApexPay is our payroll, HR and time and attendance software. You can contact us at info@ssisolutions.biz or 868-757-APEX (2739).
Information we collect on this website
When you complete a form (demo request, quote, contact or newsletter) we collect the details you enter, such as your name, company, email address, phone number, number of employees and your message.
Our web server records basic technical information (such as your IP address, browser type and the pages requested) to keep the site secure and working. If analytics are enabled, we use a privacy-friendly service that does not use advertising cookies.
How we use it
We use form information to reply to you, arrange demos, prepare quotes, provide support and, if you subscribe, send payroll compliance and product updates. You can unsubscribe at any time by replying to any update or emailing info@ssisolutions.biz.
We do not sell your personal information.
If you contact us through WhatsApp, your messages are handled by WhatsApp under its own privacy policy, and we use them only to respond to you.
Personal information in the ApexPay service
When an employer uses ApexPay, the employer decides what employee information is entered and how it is used, and SSI processes it on the employer's behalf to provide the service. This can include employee identity and contact details, employment, pay, tax and bank information, attendance records and, where the employer uses those features, face templates for the ApexTrak face-recognition timeclock and location data from the ApexTrak Employee app.
Face recognition matching takes place on the timeclock device, and face templates are stored in the employer's company database so that registered kiosks can recognise enrolled employees. Location is recorded with clock-in and clock-out, and during working time only where the employer turns on location tracking and the employee app displays the related notice.
When an administrator uses the Apex Payroll AI assistant, the question and the relevant payroll results are sent to our AI provider, OpenAI, to generate the answer.
Each client company's data is kept in its own database. Employees who have questions about their information in ApexPay should contact their employer first.
Sharing
We share personal information only with service providers who help us run the website and the service (for example hosting, email delivery and the AI provider mentioned above), when required by law, or with your consent.
Security and retention
We use measures such as encrypted connections, two-factor sign-in for administrators, role-based access and audit logging. We keep website enquiries for as long as needed to respond and for our reasonable business records, and service data for as long as the employer's agreement requires.
Your choices
You may ask us to access, correct or delete the personal information you gave us through this website by emailing info@ssisolutions.biz. We will respond in line with the applicable data protection laws of Trinidad and Tobago.
Changes
We may update this policy. The date at the top shows when it was last changed.
